Compliance with government regulations and fear of liability are pushing enterprises to pay careful attention to e-mail archiving and management, and vendors are stepping up with new tools to manage such communications.
CommVault Systems Inc. this week will introduce a new archiving tool for Microsoft Corp. Exchange users looking for organized, long-term storage of e-mail.
QiNetix DataArchiver for Microsoft Exchange is an add-on to CommVaults current archiving tools and can monitor all inbound and outbound e-mail, offering full content search across multiple mailboxes using advanced sampling techniques, according to company officials, in Oceanport, N.J.
Officials said the tool uses CommVaults Common Technology Engine. “[Keeping] full content search information and the location of every file needs a scalable distribution catalog architecture,” said Brian Brockway, product manager for CommVault. “Its a scalability issue because the regulations require organizations to save 20 times the information theyve been saving.”
Long-term archiving and management of e-mail traffic are of interest to businesses such as financial services, health care and pharmaceutical companies, each of which faces increasing government regulation as well as liability and litigation issues related to stored communications. Such companies are required by NASD and Securities and Exchange Commission regulations, as well as by federal statutes such as the Sarbanes-Oxley Act and the Gramm-Leach-Bliley Act, to deploy policy management, privacy, archiving and auditing systems for their e-mail.
“IT is just getting their arms around this issue,” said John Webster, founder of Data Mobility Group LLC, in Nashua, N.H. “The federal government wants all public companies to [archive] any transaction related to financial statements, including e-mail. They have to provide them, often within 48 hours. If you need to comply, you have to look at tools like this.”
QiNetix DataArchiver for Microsoft Exchange includes features that let administrators set e-mail retention schedules and manage redundant copies as well as search for and retrieve targeted messages. The system integrates with secure storage media from a variety of vendors.
QiNetix DataArchiver for Microsoft Exchange is available now and costs $50 for each mailbox monitored. In addition to its e-mail tools, CommVault this week is rolling out enhancements to its QiNetix Quick Recovery and QiNetix DataMigrator software that include expanded platform support and added features.
Meanwhile, SurfControl plc. and Omniva Policy Systems are teaming to create a secure e-mail policy management system aimed at financial services companies. The combination of SurfControls E-mail Filter and Omnivas Policy Server allows users to enforce e-mail policies while keeping private communications secure, according to SurfControl officials.
