Nuance Communications introduced new versions of its capture software products, AutoStore 7 and eCopyShareScan 5.4, which improve document capture across business process capture workflows and collaborative capture workflows.
Through dynamic text redaction, AutoStore enables organizations to protect sensitive information without actually searching for any data on the image file.
The software matches data on the image file against a specified dictionary and automatically redacts matching data, helping businesses protect personal information and meet compliance demands.
“Ease-of-use is one of the top fundamental requirements that we’ve identified for our customers’ capture and workflow systems,” Jeff Segarra, senior director of product marketing for Nuance Imaging, told eWEEK. “Complexity increases the chance of mistakes, which cost time and money, increase frustration and most importantly, expose businesses and their customers to security risks.”
Segarra said one major security concern when it comes to workflow is the total loss of paper documents, noting that if an important document is laying around an office, it could easily get into the wrong hands.
“Scanning documents makes it easy to turn paper into a digital asset that can be secured,” he said. “Another concern is inadvertently sending a scanned document to the wrong person or an insecure location. Capture software allows users to gain control of collaborative work streams and securely deliver documents to their proper destination.”
Segarra said users might accidentally expose certain information within a document that shouldn’t be shared, even if the document itself can be, which is why dynamic text redaction is an important feature of capture software.
“You can send a file that contains a social security number, for example, but automatically block out that particular information,” he explained. “This effectively protects sensitive data within shared documents and ensures that the organization meets compliance demands.”
eCopy ShareScan helps organizations to create and repurpose business content with a multifunction printer (MFP) direct-to-PC desktop inbox for reception of scanned documents, and a rich PDF editing and collaboration application with desktop connectors for publishing to popular shared workspaces and the cloud.
In addition, eCopy Office, Suite and Enterprise also includes the option for the eCopy Cloud Pak offering secure scanning capabilities to Microsoft OneDrive, Google Drive, and Dropbox, plus additional document management connectivity to DocuWare and Exact Synergy Enterprise.
“Document management systems will need to dynamically and intelligently integrate with line-of-business systems in the near future,” Segarra said. “Generally, document management systems are categorized by an archive function. A line-of-business system typically has some sort of document management component. I see these two systems coming together. It will be easier and better for them to link, rather for them to absorb features of the other.”
